The Executive Assistant will provide high-level administrative support to the President & CEO. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the senior management teams as needed; organizes and coordinates executive and external contact and follow-up efforts or discussions and may oversee special projects as assigned. The Executive Assistant must be detail oriented, able to solve problems creativly and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment, maintain strict confidentiality in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Essential Functions:
Provide full time administrative support to the President & CEO
Act as the point of contact among executives, employees, clients and other external partners (for specific items as assigned) in support of the President & CEO
Attend meetings as required and take meeting notes
Format and organize meeting notes and follow-up items
Manage President & CEO calendar and manage internal & external meetings (including coordinating conference calls and collaborative meetings)
Make travel and accommodation arrangements
Assist in preparing and editing various presentations and documents
Assist in reviewing contracts and other legal documents as assigned
Create, organize, and maintain files and records for President & CEO
Other Functions:
Follow company procedures and security practices
May perform other job-related duties as assigned
Ability to be reachable / respond after hours (as needed)
Education, Experience, and Other Skills:
Four-year college degree preferred, not required
Minimum of 5 years Executive Assistant experience, working directly with CEO or other executive level
Minimum 5 years’ experience in an administrative support position
Outstanding organizational and time management skills
Exemplary attention to detail
Proficient in Microsoft Office products i.e. Excel, Word, PowerPoint, Outlook
Excellent verbal, written and interpersonal communication skills
Ability to interact effectively with all levels either within the company or with outside partners and vendors
